Peppol checklist for the firm: every week and before every VAT return
Peppol usually works, until a client switches software, a supplier sends to the wrong number or a PDF ends up in the journal. This list stays short: what you check every week, and what before every VAT return. The return is due on the 20th of the month after the period for monthly filers, on the 25th for quarterly filers3.
Every week
- Is every client under 0208? In Belgium the agreement is that a company is registered at least with its enterprise number (0208)1. A client only under 9925 misses invoices. See 0208 or 9925.
- Are 0208 and 9925 with the same provider? Two providers means two mailboxes, and often someone only looks in one.
- Does every client also receive credit notes? Credit notes go through Peppol too2. A registration that only accepts invoices drops them.
- New clients and switches. Check new clients right away, and every client that switched accounting or invoicing software.
For a single client the government's Lookup Peppol is enough: search by name or by 0208: plus the enterprise number. It shows who can receive documents, not who can send them1.
Before every VAT return
- Look for duplicate purchase invoices in the period's journal: the same invoice number, or the same amount from the same supplier within a few days. See duplicate invoices.
- PDFs from Belgian suppliers. If a purchase invoice only came in as a PDF, ask for the Peppol version.
- Credit notes against invoices. A credit note the supplier sent that is not in the journal can point to a registration that does not receive credit notes.
- Clients who cannot receive. Not having the technical means to issue and receive e-invoices risks a fine of 1,500 euros, 3,000 euros for a second and 5,000 euros for further offences2. Call those clients before the return, not after.
Peppol-check does the weekly points every night for all clients, under 0208 and 9925, and on Monday sends only the clients that need attention. The duplicate check you do per client with an export of the purchase journal. Does your practice software already show this per client? Then you may not need this.
